Gathering your resources
The first step is to make sure you have access to all pertinent information regarding your publication. This includes:
- Title, authors and funding agencies
- Journal/magazine or book title, publisher, etc.
- Date of publication
- Link (preferably DOI) to main publication
- Link, if possible, to arXiv publication
If the publication is in conference proceedings, you will also need:
- Name and abbreviation of the conference
- Location and dates of the conference
- Conference webpage (if possible)
Entering your first publication: an example
Note: Unfortunately, authors and funding agencies must be entered AFTER the publication is entered.
IQIS has a new member! His name is Tony Quanto; he has a couple of publications to be put into the database.
First and foremost, he has to log in. Since this is his first time, he will have to ask an Administrator for a username and password.
Once he has done this, he will be brought to the main menu:
The next step is to click any of the four links under Add/Edit Publication
Note: There is now a fifth option, By Journal.
When he clicks on Add a Publication near the top of the page, he is brought to the form he needs to fill out.
Note: Fill out either First/Last Page or Article number/Number of pages.
After he submits this form, he has to add the authors and funding agencies. While he has already been entered in the database as an author,
the co-author, John E. Everton, has not. Back in the main menu, he clicks
Add/Edit Author, bringing him to a fairly big list of authors.
Having already double-checked that Everton isn't already there, he proceeds to click
Add an Author, bringing him to another form.
This form is fairly simple to fill out.
If the author were a member of IQIS, they should also be selected from the drop down menu.
One of his funding agencies is also not in the database. To add this in, he goes to (you guessed it)
Add/Edit Funding Agency from the main menu.
Finally, to bring it all together,he goes to
By Title under
Add/Edit Publication.
Once he finds his paper, he clicks the
Author link on the top of the entry. This brings him up to a screen where he can change the authors.
Note: The order in which you select the authors is the same order that shows up on the page
Tony has now successfully entered his new publication in the database!
From e-print to journal
Tony has finally had his e-print accepted for print! The first thing he goes to do is change the status (type) of his publication from
E-print to
Article (accepted or in press). However, he very quickly realises that the journal his article will be published in isn't in the database, so he'll need to put it in under
Add/Edit Journal.
Then, Tony selects it from the
Journal/Magazine menu on the publications form, and waits for his article to be published.
Once it is, he selects
Article (in Refereed Journal)
from the drop down menu beside
Publication Type, and fills in the corresponding fields.
In the end, Tony's form looks like this
Conference proceedings
Tony was fortunate enough to be invited to the 1
st annual Quantum Electronics and Entanglement Conference (QuEEn '06) a couple of months ago, to present a paper.
This new conference is not in the database, so he will have to make a new entry for it. From the main menu, he clicks on
Add/Edit Conference, and then
Add a Conference.
Next, he gets himself back to the Add a Publication form (the Publication Type for a conference paper is In Proceedings).
Since he was invited, he will also need to check off the invited checkbox under Select Presentation Attributes.
The publication has been entered (minus the authors and funding agencies), so now Tony can start worrying about that seminar he has to present soon...
